Microsoft 365 Backup: What Microsoft Does and Does Not Cover

Microsoft keeps its service running, but protecting your data is your job. Here is where the line sits and why it matters.

Many businesses assume Microsoft 365 backs up their email and files. In reality, Microsoft runs a highly available service, but it works on a shared responsibility model. Microsoft looks after the platform. You are responsible for your data.

What Microsoft looks after

Microsoft keeps the service available, secures its infrastructure and builds in resilience so that a hardware failure in one of its data centres does not take you offline.

What stays with you

  • Accidental deletion by you or your staff
  • Malicious deletion by a leaver or an attacker
  • Ransomware that encrypts synced files
  • Mistakes made during migrations or bulk changes
  • Keeping data for as long as your policies require

Microsoft’s built-in retention and recycle bin features can help for a limited time, but they are not designed to be a full backup you control.

What a proper backup gives you

An independent copy of your mailboxes, OneDrive, SharePoint and Teams data, held separately, that you can restore from a point in time. That means you can recover a deleted mailbox, a damaged document library or a whole user’s data, even after the built-in options have run out.

Making it simple

Backup should not add to your workload. Choose a service that runs automatically, stores data in the UK, and lets you restore for yourself when you need to.
